Guardian Apps LLC ("we," "us," "our") operates the Guardian Apps mobile applications and associated websites, digital services, and companion applications available through the Apple App Store and other distribution platforms (collectively, the "Services").
This Privacy Policy explains how we collect, use, disclose, and protect your information. It is designed to comply with applicable data-protection laws worldwide, including EU GDPR, UK-GDPR, CCPA/CPRA, PIPEDA, LGPD, and other applicable frameworks.
By downloading, installing, accessing, or using our Services, you acknowledge that you have read and understood this Privacy Policy. Where required by law, your continued use constitutes consent to the practices described herein.
Our Privacy Commitments
We never sell, rent, or trade your data.
We never use your content to train AI models.
Recording and transcription run on your device. Short meetings are analyzed entirely on-device; for longer ones, only the text transcript — never audio — is sent over an encrypted connection, and only to fulfill your request. We do not store your transcripts.
You can delete your data at any time from within the app.

Categories of Personal Data We Collect
2.1 Account and Profile Data

If you subscribe to our newsletter through our website, we collect the email address you provide in order to send you updates. Newsletter delivery is handled by a third-party email service provider, and you can unsubscribe at any time using the link in any email.
2.2 User-Generated Content
- Meeting transcripts, decisions, action items, and participant names you capture or enter
- Voice and audio recordings (only when you explicitly enable recording features)
- Notes, annotations, and other text content you input
- Files you create or export within the App, such as PDF reports
2.3 Location Data
DECISIO.ai does not require or collect location data for its core features. If a future feature uses location, it will be requested only with your explicit, affirmative consent and can be revoked at any time through your device settings.
2.4 Device and Technical Identifiers

- IP address (collected automatically by servers processing your requests)
2.5 Purchase and Subscription Data
In-app purchase and subscription history is processed by the respective app store. We do not receive or store payment card information or bank account details.

2.7 AI Analysis Data
Meeting transcripts and text you voluntarily submit for AI-powered analysis, and the AI-generated outputs (summaries, decisions, action items, and briefs) derived from them.

Artificial Intelligence Processing
5.1 How AI Features Work
The App incorporates AI features that generate automated insights from your meetings. Recording and transcription happen entirely on your device using Apple's on-device speech framework. Your audio is never uploaded to Guardian Apps or to any AI provider, and is never sent for AI analysis. If you enable iCloud sync, your recordings sync to your own Apple iCloud account under Apple's terms (see Section 7).
For shorter meetings, analysis also runs entirely on your device using Apple Intelligence, and no meeting content is sent anywhere.
For subscribers, longer transcripts are analyzed in the cloud. In that case, only the text transcript of your meeting — never the audio recording or any voiceprint — is transmitted over an encrypted connection to Guardian Apps' server, which relays it to our AI provider, Anthropic (Claude), for analysis and returns the result to you. Guardian Apps does not store your transcripts: they exist only in memory for the duration of the request and are never written to disk, logged, or retained on our servers. Under our commercial agreement with Anthropic, transcripts sent through our service are not used to train Anthropic's models.
You may also choose to supply your own AI provider API key in Settings. When you do, your transcript is sent directly from your device to that provider solely to fulfill your request, and does not pass through Guardian Apps' servers.
5.2 AI Accuracy Disclaimer
AI outputs are NOT guaranteed to be accurate, complete, or error-free. AI outputs do NOT constitute professional, legal, safety, medical, engineering, or regulatory advice. AI results may contain biases, hallucinations, omissions, or inaccuracies inherent in machine-learning systems.
5.3 AI Data Retention
Our AI provider may retain API inputs and outputs for a limited period (up to 30 days) solely for security and abuse monitoring, and does not use them to train its models. We do not use your data to train AI models.
Voice and Audio Recording
You must obtain all required permissions and consents from individuals being recorded before initiating any recording. You are solely responsible for complying with all applicable recording and consent laws in your jurisdiction. Audio data is processed solely to provide the functionality you have requested.
Data Storage and Security
- On-Device Storage: Drafts, media, and local data are stored on your device under your device's security controls
- iCloud Sync: When enabled, data syncs to your Apple iCloud account, subject to Apple's security and privacy policies
- Data in transit is encrypted using Transport Layer Security (TLS)
- Data at rest uses platform-provided encryption (iOS Data Protection)
No method of electronic storage or transmission is 100% secure. You are responsible for maintaining the security of your device and account credentials.
Data Sharing
We do not sell, rent, or trade your personal information to any third party for monetary or other valuable consideration.
We may share personal data with Apple Inc. (for app-store and iCloud services), AI service providers (limited to the meeting transcripts you submit for analysis), cloud infrastructure providers, analytics providers (aggregated/de-identified data only), our newsletter email delivery provider (limited to the email address of subscribers who opt in), and legal/regulatory authorities when required by law.
International Data Transfers
Your personal data may be processed in countries other than your country of residence, including the United States. Where data is transferred outside the EEA or UK, we rely on European Commission adequacy decisions, Standard Contractual Clauses (SCCs), or other appropriate safeguards.

Device Permissions
The App may request access to: Microphone, Speech Recognition, Calendar, Notifications, and Files. Each permission is requested only when the associated feature is accessed and can be revoked at any time in your device settings.
Subscriptions and Billing
- All billing, payment processing, and refunds are handled exclusively by the Apple App Store
- Guardian Apps LLC does not collect, process, or store payment card or bank account information
- Refunds and payment disputes must be directed to Apple directly
- Subscription management is handled through your Apple ID account settings
Children's Privacy
The App is not directed to children under 13 (U.S.) or under 16 (EEA/UK). We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us at [email protected] and we will delete such information promptly.
Changes to This Policy
When we make material changes, the updated policy will be posted on our website and within the App, and the "Last Updated" date will be revised. Your continued use of the Services after changes are posted constitutes acceptance, except where additional consent is required by law.
